We are looking for an exceptional Executive Assistant to support the Regional Managing Director and management team. In this pivotal role, you will provide comprehensive administrative and operational support to the Managing Director, support strategic initiatives, ensure seamless communication and coordination among the management team, and various stakeholders within the organization, and engage with PR activities.
The position is based in Zagreb, Croatia.
Key responsibilities:
Executive Support:
- Manage the MD's calendar, schedule appointments, and coordinate meetings
- Prepare agendas, take minutes, and distribute materials for meetings
- Handle complex travel arrangements and itineraries for the MD and the management team
- Draft and proofread correspondence, reports, presentations, and other documents
- Anticipate and proactively plan for the MD's future engagements and needs
Public Relations and Communication Support:
- Collaborate with the marketing team to develop and coordinate PR activities for the MD
- Draft speeches, talking points, and other communication materials for the MD's public engagements
- Liaise with media outlets and coordinate interviews or press releases as needed
- Ensure consistent messaging and branding across all communication channels
Initiative Management:
- Assist in managing strategic initiatives and projects assigned by the MD
- Coordinate with cross-functional teams and stakeholders to ensure project timelines and deliverables are met
- Provide regular updates and reports on project progress to the MD and the management team
Administrative and Operational Support:
- Manage and maintain the MD's office, including supplies, and equipment
- Coordinate and make logistical arrangements for meetings, events, and conferences
- Process expense reports and invoices for the MD and the management team
- Maintain confidentiality and handle sensitive information with discretion
Team Support:
- Provide administrative support to the MD's management team as needed
- Facilitate communication and information sharing among team members
- Assist with onboarding and training new team members as required
