General Services Specialist (m/f)

A day in life of a General Services Specialist

Coordination of usage and maintenance of company vehicles and company pool cars
Coordinates with users servicing and repairs of company vehicles; and users vehicle registration, tire replacement, damage reports
Responsible for the implementation of Car policy procedure
Supports General Services Team lead ADR North in coordination of all car fleet activities
Organize trainings in the field of safety and health at work and fire protection
Monitor, analysis and preparing reports on fleet usage and maintenance costs (TAG, fuel reports, etc)
In coordination with HR and GS Team lead is responsible for assigning/ reassigning of company vehicles
Creates Purchase Request, invoice and report management for car fleet and Purchase Orders for Administration, HR, and other departments that are restricted by potential conflict of interest
Monthly reports for business entertainment expenses, taxi and courier services
Contract Management - registration of all incoming contracts
Coordination and support in organization of company events
Facility management activities for Zagreb Head Office
Regular safety and security check for office and storage premises
Records and distributes incoming mail, invoices and packages
Answers phone calls, routes calls, takes messages, greets and register guests and refers them to appropriate staff
Cooperation with courier providers, takes care of urgent deliveries upon requests
Coordinates travel and lodging accommodations for staff and company visitors
Determinates need for and order office materials, equipment and supplies.

What will make you successful

Ideally, you are a proactive person structured and clear on priorities, proactive, with ability to multitask.
You have 1-2 years of prior experience on similar positions.
You have valid driving license with excellent driving skills.
University degree in relevant field can be an advantage.
Your service orientation, interpersonal and communication skills are highly developed.
You have excellent knowledge of English language, both written and spoken.
You are advanced user of MS Office package
