- being responsible for client relationship; greeting and welcome guests as soon as they arrive and direct visitors to the appropriate person and treatment
- answer, screen and forward incoming phone calls, daily mail/deliveries and provide basic and accurate information in-person and via phone/email
- ensure reception area is tidy and presentable, with all necessary stationery and material
- receive, sort and distribute daily mail/deliveries
- maintain office security by following safety procedures and controlling access via the reception desk
- order front office supplies and keep inventory of stock
- keep updated records of office expenses and costs
- perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- assist with event planning and implementation
- process and prepare financial and business forms for the purpose of checking account balances, facilitating purchases, updating financial spreadsheets with daily transactions, collect and enter data for various report spreadsheets
- create, send, and follow up on invoices
- work with accounts payable, accounts receivable, and payroll, collect information for payroll payments for employees
- assist the director in creating reports on a regular basis, attend company-wide meetings and assisting with reporting activities, provide administrative support during budget preparation
- perform administrative and other tasks as needed and other activities according to supervisor request in behalf of job position requirements
