Position Overview:
We are seeking a highly organized and proactive Logistics and Office Administrator to join our team. This position is responsible for managing day-to-day logistics operations and providing comprehensive administrative support to organization. The ideal candidate will be detail-oriented, solution-driven, and capable of offering proactive process improvement in a dynamic, fast-paced environment.
Key Responsibilities:
Logistics Coordination:
- Manage the organization, coordination, and timely handling of incoming and outgoing shipments
- Prepare and verify shipping documents and ensure order accuracy
- Maintain regular communication with customers, suppliers, warehouse staff, transport providers, and an outsourced accounting team
- Oversee inventory control and maintain accurate stock records
- Collect and prepare logistics-related reports, invoices, credit notes, and analytics
- Resolve logistics-related issues efficiently, applying a problem-solving mindset to deliver timely solutions
- Stay updated on supply chain trends and regulatory changes
- Input, verify, and update logistics data in internal systems and spreadsheets
- Coordinate INTRASTAT reporting with external service providers
Administrative Support:
- Provide day-to-day office support including tasks such as filing, data entry, and mail handling
- Procure and manage office supplies, consumables, and equipment to support smooth operations
- Assist internal departments with administrative tasks, responding to requests and resolving inquiries professionally
- Maintain organized documentation and support document preparation for external accounting service provider
- Follow up on internal and external requests to ensure completion and accountability
- Contribute to a positive and efficient office environment by taking initiative and supporting team members as needed
- Perform other administrative duties as assigned
