Your role will be all about helping our leadership team stay focused on the big picture - managing schedules, handling communications, coordinating projects, and ensuring smooth daily operations. You'll also play a key role in supporting our sales team, keeping important legal and client-related documents in check, and ensuring everything in our CRM is up to date.
We’re looking for someone who’s fluent in English, highly organized, adaptable, and great at handling multiple tasks at once. If you love bringing structure to a fast-paced environment and thrive on making things happen behind the scenes, this is the role for you!
Responsibilities:
- Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
- Supporting sales team in managing legal and client related documentation, as well keeping updated in real time CRM and other business software related to activities within sales department
- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
- Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals
- Provide administrative and office support, such as spreadsheet creation, faxing, and maintenance of filing system and contacts database
- Manage back-office and company branded merchandise program
- Maintain professionalism and strict confidentiality with all materials
- Organize team communications and plan events, both internal and off-site
