Travel Coordinator (m/f)

Hello Adriatic (Always Croatia) is a boutique small-ship cruise operator specializing exclusively in Croatia. We create intimate, authentic sailing experiences along the Adriatic, combining luxury vessels with locally rooted itineraries that highlight Croatian culture, cuisine, and coastal beauty. With a focus on personalized service and high-end travel, we cater primarily to English-speaking guests from North America. Our operations are based along the Dalmatian coast, and we pride ourselves on delivering seamless, high-touch guest experiences from start to finish. Agency Branch is located in Dubrovnik. We are expanding our operations team and are seeking to hire a Travel Coordinator. Given our extensive client base, we require an individual who has experience in a fastpaced office setting and possesses excellent multi-tasking skills. Core daily responsibilities: - Inputting bookings from clients into our systems - Arranging hotel accommodations for guests and ensuring all details are accurately communicated to the hotel - Coordinating with local guides regarding private tours requested by our guests - Securing catamaran tickets and access to various national parks - Communicating with transfer companies to provide them with precise information - Maintaining up-to-date records in the CRM system, reservations system, and other utilized platforms - Collaborating closely with the finance team to ensure timely payment of supplier invoices - Making restaurant reservations for clients - Reviewing and finalizing travel documents prior to client departures - Effectively communicating with clients to gather self-booked flight details and other necessary pre-departure information for document finalization Client support & field tasks: - Addressing emergency calls from clients experiencing issues during their holidays, including out of office hours - Assembling merchandise and welcome packs for clients - Welcoming clients upon their arrival at designated ports - Assisting with various tasks outside the office (check-ins during summer in Dubrovnik only), and meeting clients for emergencies (personal vehicle required) - Being an integral part of the team and supporting colleagues during a busy season

Who are we looking for? - 5+ Years experience in coordinating luxury travel, ideally with a luxury tour operator or DMC - Comprehensive understanding of Croatia and other European travel destinations - Experience in coordinating with hotels, tour guides, and transport services - Proficient in English communication, both verbal and written - Advanced skills in Microsoft Word and Excel - Strong attention to detail and effective problem-solving skills - Exceptional customer service abilities with a professional communication style - A proactive mindset with the capacity for creative problem solving - Willingness to engage in a variety of office tasks - A strong team player who radiates positive energy and is eager to support colleagues - Highly organized and capable of working autonomously with little supervision - A passion for travel and a desire to explore new experiences
