What the role involves:
As a Travel Coordinator, you’ll be part of our Split-based operations team, handling daily tasks that ensure our guests enjoy seamless journeys. Your responsibilities will include:
Core daily responsibilities:
- Work to a structured calendar of operational tasks
- Process client bookings (mainly US, UK, Australian, Canadian markets) in our systems
- Book hotels and ensure details are correctly communicated
- Liaise with local guides about private tours
- Arrange catamaran tickets, national park entrances, restaurants, and transfers; ensuring accurate information is sent
- Keep CRM, reservation system, and costing sheets up to date
- Confirm services with ground suppliers using reports and systems
- Book restaurants for our clients
- Prepare and finalize client travel documents before departure
- Communicate effectively with clients to obtain flight details and other pre-departure information
- Support customer service requests promptly and accurately
Financial and reporting duties:
- Maintain costing sheets for control purposes
- Work closely with finance to ensure supplier invoices are paid by deadlines
Client support & field tasks:
- Deal with emergency phone calls if clients face issues while traveling in season, including out of office hours
- Greet clients in respective ports
- Assist with fluid tasks outside the office (including Dubrovnik check-ins during summer), including meeting clients for emergencies
Teamwork and general duties:
- Be a supportive team player, especially during busy season peaks
- Mentor and provide guidance to junior coordinators, sharing knowledge and best practices
- Perform other related duties as assigned by management
- Help management identify process improvements and contribute to smoother operations
