We are looking for a highly organized, proactive, and reliable Office Assistant to support our HQ operations in Zagreb. This role is ideal for someone who enjoys working at the intersection of finance, administration, and operations, and who thrives in a dynamic, international environment.
You will work closely with senior management and act as a key coordination point between HQ, our museum locations, and partners.
Key Responsibilities:
Financial Administration & Support;
- Support the CFO with bookkeeping, invoice processing, expense tracking, and monthly closings
- Assist with budgeting, data entry, and preparation of financial summaries, forecasts, and reports
- Coordinate with internal accountants and external accounting offices across all museum locations
- Process receipts, reimbursements, and financial documentation with high accuracy and compliance
Office & Administrative Management;
- Ensure smooth day-to-day HQ operations, including office supplies, logistics, and internal documentation
- Coordinate travel arrangements, accommodations, and scheduling for HQ staff and management
- Support HR administration (contracts, payroll coordination, onboarding kits, internal communications)
- Act as the operational backbone between the CEO, CFO, marketing team, and museum locations
Operational Coordination;
- Collect operational and financial data from each location to support reporting and decision-making
- Liaise with vendors and service providers, handling logistics and follow-ups
- Support inter-location communication and streamline workflows
- Provide ad-hoc administrative and operational support to the HQ team
