JOB SUMMARY

The administrative specialist is responsible for supporting the day-to-day administrative operations of the company. The position’s key responsibilities and accountabilities involve providing efficient and effective administrative assistance, ensuring smooth office functioning, and facilitating communication among departments and external stakeholders.

MAIN ACCOUNTABILITIES

Execute and maintain administration policies, procedures, guidelines, and processes as well as ensure standardization while providing administrative support
Assist in maintaining a well-organized and efficient office environment, which includes maintaining company facilities, managing office supplies, equipment, and inventory as well as assessing the safety level of TAWAL Croatia country’s premises
Manage emails, calls, and mail, organize, and maintain files, and help create and proofread documents for different departments
Schedule and coordinate meetings, conferences, and appointments for company executives and teams as well as prepare meeting agendas, taking minutes, and distributing meeting materials
Prepare for company events and other administrative matters like scheduling in coordination with relevant parties and event owners, ensuring to administer meeting and conference rooms
Coordinate and maintain third party relationships for both maintenance and services providers (e.g., office boys, cleaning services, etc) as well as other vendor relationships and maintain records of vendor contracts and agreements
Manage the TAWAL Croatia's vehicle fleet, including maintenance, safety, budgeting, and procurement, while ensuring accurate documentation and promoting environmental efforts
Attend to other tasks and responsibilities requested by the line manager

JOB REQUIREMENTS

Minimum Qualifications:

High School diploma or equivalent
Bachelor’s degree is plus

Minimum Experience:

Minimum of 2 years of experience in a relevant field

Proven experience in administrative roles or office management
Strong organization skills and attention to detail
Excellent negotiation and communication skills
Strong teamwork and interpersonal skills including an ability to be a results-oriented team player
Professional manners and holding a positive attitude
Ability to multitask and prioritize tasks effectively
Highly adaptable, and has an ability to adjust to constant changes both inside and outside the organization
Proven computer skills and proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook)
Excellent spoken and written English to effectively communicate with internal and external stakeholders
