We are seeking a highly organized, proactive, and detail-oriented Project Coordinator to support the planning, coordination, and execution of training programs and operational projects. The ideal candidate has proven experience in administrative roles, strong communication skills in English (additional languages are a plus), and solid proficiency in Microsoft Office tools. This role requires someone who is not only structured and reliable but also propositive, capable of anticipating needs, suggesting improvements, and driving solutions forward.
Key Responsibilities
Course & Project Coordination:
- Coordinate course information among customers, students, instructors, aircraft providers, and service partners
- Ensure effective communication and timely updates between all involved departments to support successful course organization and completion
- Organize training venues, student transportation, airport access, and other required logistics
- Manage instructor travel arrangements, including flights, accommodation, and car rentals
- Track and manage instructor history logs to ensure accurate and up-to-date records
Documentation & Records Management:
- Prepare, handle, and properly file course documentation in accordance with internal standards
- Prepare and issue course certificates for successful participants
- Verify and validate course records submitted by other team members to ensure accuracy and completeness
- Use specialized software tools to manage course schedules, participant information, instructor allocations, and training materials
Quality & Feedback Management:
- Collect feedback from students and instructors at the end of each course to support quality improvement initiatives
- Identify potential areas for improvement in coordination processes and proactively propose solutions
Administrative & Operational Support:
- Maintain accurate project and course tracking databases, timelines, and reports
- Support cross-functional coordination with departments such as Operations, Sales and Finance
- Assist in resource planning, documentation updates, and general administrative tasks
